A Must-Read for Shipping Beginners: Understanding the Shipping Order (SO) Document
Are you confused about the SO document in ocean freight? Don’t worry! Today, we’ll break down this important document for you.
The SO document, short for Shipping Order, is commonly referred to as the booking confirmation. It’s the document you receive from the shipping company after your booking request has been verified.
So, how do you interpret the SO document? First, you need to check key information such as the SO number, container type, quantity, port of departure, and port of destination. These details directly impact your cargo shipment.
In a SO file, we can know below information:
Cargo Information: Includes the name of the goods, quantity, weight, volume, packaging, etc.
Shipping Information: Includes loading port, discharge port, vessel name, voyage number, departure date, etc.
Carrier Requirements: Includes bill of lading method, freight payment terms, container location, empty/full status, cut-off times, etc.
Other Special Requirements: Such as customs declarations, special loading/unloading requirements, etc.
Additionally, the SO should usually include the signature and date of the shipper or their agent to confirm agreement with the transaction terms and details.
Let’s illustrate several terms related to “time” as below:
The “Container Release Time” indicates the earliest time you can pick up an empty container—be sure to remember this!
The “Cut-off Time for Full Containers” is the deadline for returning a loaded container; missing this deadline could mean your cargo won’t make it onto the ship.
The “VGM Cut-off Time” is the deadline for submitting the Verified Gross Mass of the container. Ensure you submit this data before the deadline, or your cargo won’t be loaded.
The “Documentation Cut-off Time” is the latest time to submit all necessary documents for the bill of lading. Missing this deadline may result in amendment fees.
The “Customs Clearance Cut-off Time” is the deadline for completing customs clearance. Ensure your cargo is cleared before this time, or it won’t be loaded onto the ship.
